For the person who ends up sorting everything

You didn't start a business to spend Sunday fixing the rota.

But someone's changed their availability, the new starter hasn't signed the handbook, and the timesheets don't match. Again.

My Nine to Five puts your people, rotas, onboarding, hours, leave and expenses in one place. So you can spend less time piecing things together.

For small UK businesses, charities and mixed teams. From £19 a month.

Sound familiar?

The information exists. Finding the right version is the job.

The rota is in a spreadsheet. Holiday requests are in your inbox. Someone keeps the training list on their laptop. Receipts arrive as photos, and the new starter's details are somewhere in a message thread.

None of that is unusual in a small business. You made it work when there were four of you. With fifteen people, every change means checking three places and chasing two people.

By Friday, you're doing the same sums again, working out who actually worked, what still needs approving and what to send to the accountant.

A working week, with fewer loose ends

One place for the work around your people.

Your team can check their shifts, log hours, request leave and read documents from their phone. You can see what needs a decision, with the records behind it.

01 / Before the first shift

Get a new starter ready without a trail of attachments.

Add someone yourself or check their application. They fill in their details and read and sign the documents you assign. You can see what's still missing before you activate their account.

If a role needs training, references or checks, those belong on their record too. You choose the steps your organisation uses.

02 / Plan the week

Put the rota where everyone can find it.

Create a one-off shift or a repeating pattern. Set the role, location and number of places, then book people in or let eligible people book themselves.

The app checks role requirements and clashes. People see their own upcoming shifts, so you don't have to send a fresh spreadsheet every time something changes.

03 / Close the week

Review the hours instead of rebuilding them.

Attended shifts feed into hours. Staff can log other work separately. Approve what needs approving, deal with expenses and see the amounts ready to pay for hourly staff.

Export the approved pay information for your accountant or payroll system. My Nine to Five doesn't run payroll or transfer money.

Use the parts you need.

A café with hourly staff won't work like a charity with volunteers. Switch features on or off and choose who can see or change each part. Every plan includes every feature, so adding leave or expenses doesn't mean buying another module.

Try your own numbers

What would a little less chasing be worth?

Count the admin you repeat each week, then estimate how much a shared system could remove. Start with the jobs above, rather than all the work involved in managing people.

This is your estimate, not a measured result or a promise. Some tasks still need your judgement. The calculator assumes 48 working weeks a year.

Time value is an illustration, not cash saved or a profit forecast. It excludes the subscription cost. Your entries stay in this page and aren't sent to us.

To work it out yourself: weekly admin hours × the share you could save × 48 gives annual hours saved. Multiply by your hourly value for an illustrative time value.

Straightforward pricing

A price for your team, with everything included.

One subscription covers your private app, every feature and email support. These are the standard prices, with no setup fees and no VAT to add.

Getting set up

You can start with the next week, not your entire history.

  1. Tell us how your team works.

Who needs to book shifts? Who approves hours? Which records do you need before someone starts? Use the enquiry form if you'd like to talk it through before choosing a plan.

  2. Get your own private app.

Once you've chosen a plan, we create your organisation's app and first owner account. Your team uses your own website address. Owners and people with management permissions also set up an authenticator.

  3. Bring in the records you need.

Import people from a CSV, review the checks and fix any flagged rows before adding them. Set up your teams, roles and locations, then choose your onboarding steps and documents.

  4. Invite people and build the rota.

Start with a manageable group. Check what a staff member can see, try a leave request and an hours approval, and make sure the process suits you before inviting everyone.

There is no app store to deal with. People use their browser, and can add the app to their phone's home screen. An internet connection is needed to load and save records.
